Services

Ideal State offers three core services. Each is led by a senior consultant from kickoff to handoff. Engagements are sized to the client’s situation and may run sequentially or in parallel.

Transform365

A monthly subscription managed service for mid-sized companies and nonprofits building an AI-enabled workforce on Microsoft 365. Each Transform365 engagement includes:

  • A 24-month AI Transformation Roadmap built collaboratively in the first weeks.
  • A dedicated team (AI Strategist, Microsoft 365 Solutions Expert, Transformation Delivery Manager).
  • The Trailblazers Program: a cohort-based program that develops AI-curious employees into capable AI builders.
  • The AI Adoption Hub in Microsoft Teams: a SharePoint-based home base for AI adoption, prompts, learning, and use cases.
  • Microsoft 365 governance and Copilot administration.
  • Agent lifecycle management for Copilot Studio agents.
  • A monthly leadership rhythm and a quarterly strategy review.

Subscription terms: three-month initial commitment, then auto-renewing monthly. Cancellable anytime after the initial term.

Microsoft 365 Optimization

A focused project engagement to modernize and consolidate a Microsoft 365 tenant. Typically three to six months. Five phases:

  1. Discovery and assessment (three to five weeks).
  2. Decluttering, also called the “technology haircut” (three to five weeks).
  3. Redesign and reconfiguration (four to twelve weeks).
  4. Handoff and documentation (two to three weeks).
  5. Optional extensions (SharePoint intranet build, Microsoft Purview rollout, migration support).

AI Rollout & Adoption

A focused project engagement for change management and knowledge management in the AI era. Typically three to twelve months. Often paired with Transform365 or Microsoft 365 Optimization. Stands alone when the technology environment is in good shape and the gap is on the human side. Includes the Trailblazers Program.

AI Readiness Assessment

A free, expert-led assessment that scores an organization’s AI readiness across five domains (Strategy, Data and Content, Governance, Skills and Culture, Use Cases and Measurement). Five business days from kickoff to readout. Delivered as a one-page dashboard plus an expert-led conversation. The Readiness Assessment is the on-ramp to a deeper engagement.

Differentiators

Three claims define how Ideal State is different from other Microsoft Partners and digital transformation firms:

  1. Capability that sticks. Ideal State builds transformation infrastructure (people, governance, rhythms, practices) that continues to produce value long after the engagement ends. Not implementation. Not “install and out.” Capability that the client owns when the work is done.
  2. Knowledge management and change management as the core work, not the cleanup. Two disciplines AI made urgent. Ideal State has been practicing both as the foundation of every engagement since 2016, before AI made them load-bearing.
  3. From AI experimentation to AI transformation. The firm helps mid-sized companies and nonprofits close the gap between employees already using ChatGPT, Claude, and Copilot on the side, and an organization that has not yet caught up to them.

Methodology

Every engagement runs through a consistent methodology:

  • Listen first, then look. One-to-one listening sessions before any technology recommendation.
  • Map hopes, fears, and dreams in the buyer’s own language.
  • Subtract before adding. Decluttering precedes redesign.
  • Knowledge management and change management as integrated workstreams, not afterthoughts.
  • Build for capability that sticks, not for an implementation that ends.
  • Senior-led from kickoff to handoff. No junior staffing, no offshore augmentation.

Capabilities

  • Microsoft 365 Copilot deployment, adoption, and administration
  • Microsoft Copilot Studio agent design, deployment, and lifecycle management
  • SharePoint Online intranet and knowledge hub development
  • Microsoft Teams optimization and governance
  • Microsoft Purview information protection, sensitivity labeling, data loss prevention
  • Content lifecycle management and governance
  • Microsoft 365 licensing (Indirect Reseller)
  • Organizational change management and training
  • Data migration from legacy cloud and on-premises systems
  • Workshop facilitation (visioning, design, launch planning)
  • Knowledge management and self-service portal design
